The Forge Community Iceplex ("The Forge," "we," "us," or "our") is a nonprofit organization working to bring Central Oregon's first permanent two-sheet indoor ice facility to Bend, Oregon. We are committed to being transparent about how we handle information shared with us through this website.
This Privacy Policy explains what information we collect, how we use it, and the choices you have. This policy applies to theforgebend.com and any related pages or forms operated by The Forge.
The short version: We collect only what we need to respond to you or keep you informed about The Forge. We do not sell your information. We do not share it with third parties for their own marketing purposes.

Section 01
Information We Collect
We collect information in two ways: information you give us directly, and limited technical information collected automatically when you visit the site.
Information you provide directly:
- Contact form submissions — your name, email address, and the message you send us
- Email list signups — your name and email address when you opt in to receive updates about The Forge
- Donor inquiries — any information you voluntarily share when expressing interest in supporting the project
Information collected automatically:
Basic server logs — your IP address, browser type, and the pages you visit. This is standard for any website and is used solely for site security and diagnosing technical issues.
We do not collect sensitive personal information such as Social Security numbers, financial account details, health information, or government-issued ID numbers through this website.
We may compile visitor data into aggregated, anonymous statistics (for example, total page visits or general geographic trends). This aggregated information cannot identify you as an individual and is not considered personal information under this policy.
Section 02
How We Use Your Information
We use the information we collect only for the following purposes:
- To respond to your inquiry or contact form submission
- To send you project updates, news, and announcements about The Forge — only if you have opted in
- To follow up on donor or investment inquiries you have initiated
- To improve the website and correct technical problems
- To comply with legal obligations applicable to our nonprofit organization
We will not use your information for any purpose that is inconsistent with what you reasonably expected when you provided it.
Section 03
Cookies & Analytics
Cookies are small text files stored on your device by your browser. They help websites remember your preferences and understand how visitors use the site.
Current status: This website does not currently use third-party analytics cookies (such as Google Analytics or Meta Pixel). Basic session cookies may be used to keep the website functioning properly — these do not track you across other sites and are deleted when you close your browser.
Coming soon: If we add third-party analytics tools in the future, this policy will be updated before any such tools go live, and we will describe what is collected and how you can opt out.
You can control or disable cookies through your browser settings at any time. Disabling cookies will not affect your ability to use this website.
Section 04
Donations & Payments Coming Soon
Online donation and payment processing is not yet available on this website. When it is, this section will be updated to fully describe how donation information is handled.
When online giving is enabled, here is how we will handle it:
- All payment and credit card transactions will be processed by a trusted, PCI-compliant third-party payment processor. The Forge will not store your full credit card number on our servers.
- Donation records — including your name, contact information, and gift amount — will be retained as required for nonprofit financial recordkeeping and IRS reporting.
- Donors who make gifts of $250 or more will receive a written acknowledgment as required by law. Your contact information will be used to provide this acknowledgment.
- We will not sell, rent, or trade donor information with any outside organization for any purpose.
Section 05
How We Share Your Information
We do not sell, rent, or trade your personal information. We may share it only in these limited circumstances:
- Service providers — We may use third-party tools to send emails (such as an email marketing platform). These providers access only what they need to perform that service and are contractually prohibited from using your information for their own purposes.
- Legal requirements — We may disclose information if required by law, court order, or in response to a lawful request by a government authority.
- Protection of rights — We may share information where necessary to protect the rights, property, or safety of The Forge, our team, or the public.
- Organizational transitions — If The Forge merges with, transfers to, or is succeeded by another nonprofit or organization, your information may be transferred as part of that transition. We will notify you of any material change in ownership or use.
Section 06
Data Retention
We keep your information only as long as it is needed for the purpose it was collected, or as required by law.
- Contact form messages — retained as long as the conversation or inquiry is active, then deleted within 24 months unless there is an ongoing relationship.
- Email list subscribers — retained until you unsubscribe. You can opt out at any time using the unsubscribe link in any email we send.
- Donor records (when applicable) — retained for a minimum of seven years in accordance with nonprofit financial record-keeping requirements.
- Server logs — retained for up to 90 days for security and diagnostic purposes, then deleted.
Section 07
Your Choices & Rights
You have the following rights regarding your personal information:
- Opt out of emails — Every email we send includes an unsubscribe link. You can also email us directly to be removed from our list.
- Request access — You may request a copy of the personal information we hold about you.
- Request correction — If any information we hold is inaccurate, you may ask us to correct it.
- Request deletion — You may request that we delete your personal information. We will honor this request unless we are required by law to retain it (e.g., donor records for tax purposes).
To exercise any of these rights, contact us at the address in Section 12. We will respond within 30 days. We may need to verify your identity before processing a request, and we will not use information collected for verification for any other purpose.
Oregon residents: The Oregon Consumer Privacy Act (effective July 1, 2024) gives Oregon residents additional rights, including the right to confirm whether we process your personal data, access or correct it, request deletion, and opt out of any sale of personal data. We do not sell personal data. To exercise any OCPA right, contact us using the information in Section 12. If you believe your rights have not been honored, you may contact the Oregon Department of Justice at doj.state.or.us.
Section 08
Children's Privacy
This website is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has submitted personal information through this website, please contact us and we will promptly delete it.
While The Forge will serve youth and families as a facility, the informational website you are currently visiting is intended for adults — parents, donors, community members, and stakeholders. Youth program registration, waivers, and related forms will be managed through dedicated, age-appropriate processes when the facility opens.
Section 09
Security
We take reasonable steps to protect your information from unauthorized access, loss, or misuse. These measures include using HTTPS encryption on this website and limiting access to contact information to authorized personnel only.
No method of transmission over the internet is completely secure. While we work to protect your information, we cannot guarantee absolute security. If you have concerns about transmitting sensitive information, please contact us directly by phone or mail.
Section 10
Do Not Track
Some web browsers include a "Do Not Track" (DNT) feature that sends a signal to websites indicating you prefer not to be tracked. This website does not currently respond to DNT signals, as no uniform standard for how websites should honor these signals has been established. We will revisit this if a standard is adopted or if we add tracking tools in the future.
You can also limit tracking by adjusting your browser's cookie settings at any time — see Section 3 for details.
Section 11
Changes to This Policy
We may update this Privacy Policy from time to time — particularly as The Forge grows and new features such as online donations, event registration, or analytics are added to the site.
When we make material changes, we will update the "Last Updated" date at the top of this page. For significant changes, we will make reasonable efforts to notify email subscribers. Your continued use of the website after any changes constitutes acceptance of the updated policy.
We encourage you to review this page periodically to stay informed.
